About the role
We are looking for an Office Manager who is passionate about people, operations, and creating an exceptional experience for employees, podcasters, and partners — and of course, has a love for podcasts! The role is based at Acast’s Head Quarters in the Stockholm office.
This is a key role within Acast. As Office Manager, you are the heart and engine of the office, responsible for ensuring everything — from people experience to podcast studios to technical setups — runs smoothly and professionally. You will be the face of the office and the first point of contact for visitors, podcasters, vendors, and Acasters, setting the tone and representing Acast every single day.
You’ll report to the Managing Director of the Nordics and work closely with multiple internal teams, podcasters, and external partners.
What you´ll do
You’ll be responsible for the day-to-day operations of the office, ensuring a well-functioning, welcoming, and professional environment. This includes conducting daily walkthroughs, managing meeting rooms, shared spaces, office supplies, catering, and being a first point of contact for visitors and podcasters. You’ll also own our podcast studios, ensuring they are always in great condition and that podcasters have a smooth, high-quality experience. This includes managing studio bookings, equipment calibration (cameras/lighting), and basic technical troubleshooting.
Vendor and property management is another important part of the role. You’ll manage relationships with office-related suppliers, handle daily communication with our property manager, and lead office-related projects such as renovations or space improvements. You will also act as the designated security and safety contact (including fire safety/SBA).
In addition, you’ll support internal events, help organize conferences and off-sites, and coordinate high-stakes gatherings, including Board and Audit Committee meetings, while continuously looking for ways to improve how the office and operations work together.
Who you are
We’re looking for someone with proven experience in a similar position, such as Office Manager, Executive Assistant, Operations Coordinator, or Project Manager, who is comfortable taking ownership and working independently. You’re structured, proactive, and used to juggling multiple responsibilities at once.
You’re confident in managing vendors, coordinating projects, and supporting senior stakeholders, while still being happy to stay hands-on with day-to-day office operations. You possess the emotional intelligence to read the room and the resilience to stay grounded even when things move quickly.
You bring a diplomatic approach to problem-solving and are a natural relationship-builder who enjoys being the go-to person. As Acast is an international company, fluency in English is essential.
